Job Specification – Production Assistant
Summary of Role
Working within the Experience department the Production Assistant will help manage cross functional teams on client projects, coordinate and ensure timely internal delivery of all aspects of each project.

Summary of primary duties and responsibilities
Internal Responsibilities
• Email broadcasting
• Data/List management of email broadcasting
• Amending of HTML emails when necessary
• Manage the translation and localization of email through changes in Photoshop files and HTML
• Manage all resource requirements for all projects, and those about to commence and communicate this to the team
• Responsible for the resource spreadsheet being up to date and accurate on a daily basis
• Provide project progress information to the whole team on a weekly basis for all projects
• Manage the day to day production of assigned projects internally
• Arrange internal project status meetings as necessary
• Demonstrate initiative, be able to troubleshoot and solve problems independently, and own the scheduling of a 12 person team
• Manage multiple tasks simultaneously and be flexible as priorities shift, often under time pressure
• Help identify problems or issues with any project deliverables, and work on solutions to solve these problems
• Ensure company processes, methodologies and work instructions are followed in production of client deliverables
• Ensure that projects are delivered within the budget and timescales agreed
• Ensure a uniform level quality of all deliverables, monitor client feedback, and undertake corrective action where required
• Liaise with the Senior Project Manager to ensure that client feedback and corrective action is documented and reviewed.
• Internally co-ordinate pitches and track time being spent on each pitch, making sure all pitch collateral is ready in advance
Project Estimation and Analysis
• Coordinate and collate cost and resource estimations for client jobs using Paprika
• Track project resource usage and expenditure
• Flag, Monitor, document and account for any overspend on a project internally
• Flag, Monitor, document and account for any slippage in the project schedule
• Ensure that your activities during the working day are recorded on the company timesheet system, and ensure that your timesheets are kept up to date
• Ensure that the team working on a project record their work on the company timesheet system in a timely, accurate manner
Skills/ experience: 1 year’s experience in a creative/design/programming environment.
Software Essential: Photoshop, HTML, Excel
Desired: Visio, Microsoft software including Project, Paprika
N.B Training will be given
